A large event can take quite a bit of organization. You will need plenty of time to coordinate all that needs to be done. It is best to hire your event management team as soon as possible. It will take many people to help make your large event run smoothly.

An event director will lead the event management team. Selecting coordinators can make or break your event. You will want to choose experienced coordinators or the one who has knowledge in the area you are looking for. The event director can provide a job description for each coordinator. This will help in finding who is best qualified for the job.

There should be several departments in your event management team. Each department should have a head coordinator. This coordinator will be responsible for assigning responsibilities to those on their team.

These are some of the responsibilities of your event management team: A Program Coordinator will schedule all the activities and make sure that everyone else on the event management team is doing their job. A Venue Coordinator schedules the event site making sure that the site is appropriate for the type of event being held. An Equipment Coordinator will be responsible for any sound equipment used by the event speaker. They will need to obtain all equipment needed. The Promotions Coordinator insures that the sponsors are happy with the publicity provided. They also take care of any seating arrangements and pay special attention to the VIP's. The Hospitality Coordinator may have one of the biggest responsibilities and the biggest team. One responsibility will be to make sure that all guests are comfortable and seated. They will also oversee the caterer, making sure that the arrangements for food and drinks are in order. It will also be this teams' job to arrange for musical entertainment. A Merchandising Coordinator will be responsible or obtaining promotional merchandise. They will need to be in touch with any sponsors. They will also need to be in charge of selling and promoting any promotional goods.

Organizing an event management team can be a big task but well worth the time if you plan on having your event run smoothly.
